Focus and Scope

The East West Medical College Journal (EWMCJ) is the flagship journal of the East West Medical College Hospital which is a concern of Aichi Health Care Group. EWMCJ is a double-blind, peer-reviewed, open-access journal. It is published biannually in January and July of each year by East West Medical College (EWMC). It publishes editorials, and original articles based on laboratory work, fieldwork, clinical trials, case reports, literature reviews, newsletters, and various other studies by scientific means related to disciplines of health and biomedical science conducted in any medical institute in Bangladesh and other countries. It also accepts review articles, meta-analyses, and letters to the editor. It maintains the criteria of the Journal Publishing Practices and Standards (JPPS) framework and provides detailed assessment criteria for the quality of publishing practices. The journal follows the International Committee of Medical Journal Editors' (ICJMJE) guidelines and recommendations for the conduct, reporting, editing, and publication of scholarly work in medical journals. It is a Bangladesh Medical and Dental Council-recognized medical journal- P-ISSN: 2220-8658; E-ISSN: 3007-956X . Furthermore, over the years researchers, professional physicians, and surgeons have enriched the knowledge archive of this Journal with various country-specific original information that possesses relevance and application, particularly in the Bangladesh context. As per the constitution and by-laws of the Institution, the Editorial Board is responsible for setting the policies governing the Journal. papers, companion papers, technical notes, operative nuances, discussion/closure, and errata are published in the EWMCJ. This is an open journal where authors do not need to be members of AICHI Health Care Group to submit material to the journals. Articles in East West Medical College Journal are licensed under a Creative Commons Attribution 4.0 International License CC BY-4.0. This license permits use, distribution, and reproduction in any medium, provided the original work is properly cited.

Review Process (Flow Chart):

Submission of Paper by Author through Online Website Portal or E-mail (editorial.ewmcj@gmail.com) or Hard copy by Post.

Editorial Office Assessment (5 working days)

Check the paper’s composition, authenticity, and Plagiarism by Plagiarism Detector software (V.4)

Executive Editor (EE) Assigns an Editor (5 working days)

 The editor sends the file to an external reviewer Double Blinded Peer Review Process  

Invitation to Reviewers (5 working days)

When an external editor confirms paper can be accepted- then it is sent to at least two reviewers.

At the same time e-mail is sent to the author regarding possible consideration of the article.

Response to Invitations (5 working days)

Potential reviewers consider the invitation against their own expertise, conflicts of interest, and availability. They then accept or decline. In case of decline, the Editor send to other reviewers in same process

Review is Conducted (10-15 working days)

The reviewer reviews the paper as per journal guidelines. He/ She fill up reviewer electronic form.  At this stage reviewer send it back to AE with his comments. It usually takes around 10-15 days

Journal Evaluates the Reviews (5 working days)

The handling editor considers all the returned reviews before making an overall decision. If the reviews differ widely, the editor may invite an additional reviewer so as to get an extra opinion before making a decision.

The Decision is communicated (5 working days)

The editor sends a decision email to the author including any relevant reviewer comments, regarding the acceptance or declination of the article or for necessary correction. If accepted paper sends to production. If rejected paper is sent to the Authors.

The journal is published in both online and print media 

All articles of our journal are reviewed by external members and researchers all over the country relevant to the submitted article in a randomized way. After submission, all articles are sent to the reviewers. The members of the editorial board are usually not the first choice as reviewers. They send their receipt within 10 days. They then send the reviewed articles with their comments back to the editors. The reviewed articles are then prepared for print. It usually takes 1-2 months in the whole process. Detailed process:

  1. Submission of Paper- The corresponding or submitting author submits the paper to the journal. This is usually by email or hard copy by post.
  2. Editorial Office Assessment- The journal checks the paper’s composition and arrangement against the journal’s Author Guidelines to ensure it includes the required sections and stylizations. The quality of the paper is not assessed at this point. The editorial office checks the article for Plagiarism by Plagiarism Detector software (V.4) and in certain cases online-based software- Grammerly or Duply checker. It usually takes 5 working days.
  3. Executive Editor (EE) Assigns an Assistant Editor (AE)- Assistant Editor (AE) Invite reviewer. The editor sends the file to an external reviewer - Double Blinded Peer Review Process which usually takes 5 working days
  4. Invitation to Reviewers-The AE sends invitations to individuals he or she believes would be appropriate reviewers. As responses are received, further invitations are issued, if necessary, until the required number of acceptances is obtained – commonly two persons. It usually takes 5 working days.

Publication Frequency

This journal is publishing two issues in each volume in January and July of each year.

Open Access Policy

This journal provides immediate open access to its content on the principle that making research freely available to the public supports a greater global exchange of knowledge.

Article Processing Fees

Our journal is free to everyone. Full text of all the contents is always available. There is no article processing charges (APCs) or submission charges. Our readers can copy, distribute, and use their attributed research for non-commercial purpose free of charge. Our journal retains copyright of the articles through a Creative Commons attribution license (CC-BY-NC 4.0).

Source of Support

East West Medical College & Hospital (EWMCH), Dhaka-1230 bears all the costs of publication of the journal. Editors work voluntarily without any payment or salary.

Archiving Policy

East West Medical College Journal- EWMCJ is hosted by Banglajol. Banglajol website (https://banglajol.info/index.php/ewmcj) is hosted by Ubiquity Press Limited, a company registered in England and Wales with Company Number 06677886. Registered office: Ubiquity Press Ltd, Unit 3N, 6 Osborn Street, London, E1 6TD, United Kingdom. Ubiquity Repositories are cloud hosted and open source, with no lock-in. For record keeping, accountability, and research purposes, East West Medical College Journal publications reserve the right to retain all communications and manuscripts (including rejected manuscripts) in its manuscript management system, unless submitting authors explicitly ask for removal of the records. Although authors retain the copyright to their work, when submitting a manuscript, they agree that East West Medical College Journal has the right to (but is not obliged to) internally store and retain manuscripts and communications indefinitely. The PKP Preservation Network (PN) provides free preservation services for any OJS journal that meets a few basic criteria. Currently, the PKP PN plugin for OJS 3 has been applied.

 

Repository Policy (Aligned with ICMJE Standards)

  1. Purpose & Ethical Basis

In keeping with the ICMJE principles of transparency, accountability, and broad dissemination of medical research, EWMCJ supports responsible self-archiving of scholarly work. This policy articulates how authors may share different manuscript versions while maintaining the integrity of the scientific record.

  1. Manuscript Versions Allowed for Archiving
    A) Pre-print (Author’s Original Version)
  • Authors may deposit their manuscript prior to peer review in public or institutional repositories.
  • The pre-print must clearly state that it has not been peer-reviewed, as recommended by ICMJE guidance for responsible sharing.
  • Authors must update metadata or repository notes when the article is accepted or published.

    B)Accepted Manuscript (Post-print)
  • Authors may archive the peer-reviewed, accepted version that includes all revisions requested by reviewers.
  • This version must not contain EWMCJ formatting, branding, or copyedited modifications.
  • Deposited manuscripts must reference the final published version once available, consistent with ICMJE’s call to maintain version-of-record clarity.

    C)Published Version (Version of Record / Final PDF)
  • Sharing the journal-formatted final version is permitted only when allowed under the publication license.
  • EWMCJ may apply an embargo period consistent with funder requirements and journal policy.
  • A direct link to the official version on the EWMCJ website must be included to support citation accuracy, in accordance with ICMJE guidance on referencing the authoritative version.
  1. Eligible Repository Platforms
    A) Institutional Repositories

Authors may store eligible manuscript versions in repositories maintained by universities, medical colleges, research organizations, or affiliated institutions to ensure long-term access.

          B) Subject-Specific Repositories

Archiving in repositories serving biomedical and health sciences (e.g., PubMed Central when applicable) is permitted. Deposits must follow all embargo rules and citation requirements.

         C) Funder-Mandated Repositories

EWMCJ supports compliance with public or private funder mandates for open access, consistent with ICMJE recommendations for ethical reporting of funding conditions.

  1. Required Conditions for Deposits
  • Proper Citation:

Every deposited version jmust display a complete citation of the EWMCJ publication and include a permanent link to the version of record on EWMCJ’s website. This supports ICMJE’s commitment to ensuring the integrity and traceability of published work.

  • Disclosure of Manuscript Status:

The exact manuscript version (e.g., “Pre-print,” “Accepted Manuscript”) must be clearly labelled to prevent misrepresentation or confusion among readers.

  • Embargo Observance:

Authors must respect embargo periods set by the journal or required under licensing agreements. Embargoes—when applicable—help maintain the value of the version of record while enabling later open access.

  • No Unauthorized Modifications

Archived versions must not contain editorial, copyediting, or publisher-assigned changes unless explicitly permitted.

  1. Transparency, Compliance & Long-Term Access
  • Research Transparency:

By allowing authors to share earlier versions of their manuscripts, EWMCJ supports ICMJE principles for transparency in the research and publication process.

  • Funder Compliance:

This policy assists authors in meeting national and international open-access requirements, including mandatory repository submissions.

  • Preservation & Access:

Archiving supports long-term preservation of medical research and increases visibility, facilitating wider dissemination in alignment with ICMJE goals for improving access to scientific knowledge.

  • Policy Registration:

EWMCJ will maintain accurate registration of its archiving permissions within global registry directories (such as Sherpa/Romeo or comparable resources) to ensure clear communication with authors, librarians, and funding bodies.
